Are you prepared to ship NHTC or Verified Natural calves?

If you're preparing to market NHTC, Samson Verified Natural, or other third-party verified program cattle, a little preparation goes a long way.

To continue providing verification services that meet USDA requirements and customer expectations, we have to follow the specific procedures for every producer. These requirements aren't arbitrary—they're what allow our programs to remain credible and available for all Samson customers. Because of that, we cannot make exceptions to documentation requirements.

Have audit completed or be within your 12-month renewal period. Your renewal is good for 12 months from your last audit date. If you want to purchase program cattle, call us to make sure you are set up as a feedlot before you receive them.
Original Birth Record showing date of first born calf.  
List of tag numbers applied to calves   We recommend cross-referencing the PCT number to a unique, secondary ID.
Receiving or Verification Forms submitted with list of tag numbers read. Submit these as soon as you receive cattle!
Shipping affidavit or "Right to Ship" certificate delivered with the cattle you received.
For SVN cavles: Treatment records so non-conforming calves can be removed from the affidavit.  
Invoice for 840 tags NOT purchased through Samson (must show tag # range) Source & Age or Retags Only! We only need this for purchased cattle if they are ONLY Source & Age Verified or you had to re-tag purchased cattle at your location.
Retagging Records Tip: It's easiest to submit these as you retag cattle! The longer you wait, the more difficult it is to resolve potential issues.
Vet Invoice from the past 12 months showing milage, trip charge, or travel.  This is a requirement of the USDA for all NHTC-eligible cattle. You only need to show us one invoice per year. Tip: Have it ready at your audit!
Daily Feed Log for last 100 days on feed (Finished cattle Only)  Need past 100 days of qualifying feed and copies of all rations used in that 100 day period.  

 

The good news is that staying organized makes the process simple.

Before requesting shipping papers, make sure you've completed the applicable items above. Timely submission of your documentation allows us to provide the highest level of customer service and return your paperwork quickly. We can't generate or recreate these records on your behalf, so having everything ready before shipping ensures your cattle move without unnecessary delays.

You can request shipping papers as soon as you know your shipment date and destination! At minimum, you should request the papers 5 business days before shipping, barring emergency or weather situations. Make sure you maintain original, signed shipping documents for your records for at least three years.
